How we collect, use, share, and protect your information — and the choices and rights you have.

Enviro Heating & Air Conditioning Inc, doing business as Enviro Heating & Air Conditioning ("Enviro Heating & Air Conditioning," "we," "us," or "our"), respects your privacy. This Privacy Policy ("Policy") explains what information we collect through our website at enviroheatnair.com (the "Site") and when you call, email, or do business with us; how we use, share, and protect it; how long we keep it; and the rights and choices you have. We are a California company with our principal office in Rohnert Park, CA, serving Sonoma, Marin, and Napa Counties. By using the Site or contacting us, you acknowledge this Policy.
1. Information We Collect
We collect the following categories of personal information, depending on how you interact with us:
- Identifiers & contact data — your name, mailing or service-property address, email address, phone number, and similar identifiers.
- Customer & service records — service address and property/equipment details, heating and air-conditioning service, installation, and maintenance history, scheduling, and estimates. There is no e-commerce or payment processing on this Site; we do not collect payment-card numbers through the Site.
- Request & communications content — the contents of contact and lead forms you submit, along with emails, messages, and call notes. The Site does not currently offer live chat; if we make live chat available in the future, the contents of those chat conversations may also be collected.
- Internet & device activity — IP address, device and browser type, operating system, referring/exit pages, pages viewed, and interactions, collected through cookies and similar technologies (Section 4).
- Approximate geolocation — general location inferred from your IP address (not precise GPS).
- Professional or employment information — only if you apply for a job: the information you choose to include in your application.
- Inferences — limited inferences we draw to respond to and serve you (for example, the service you likely need).
We do not seek to collect sensitive personal information (such as government IDs, financial-account numbers, health information, or precise geolocation) through this Site. Please do not include such information in free-text fields.
2. How We Collect It
- Directly from you — when you submit a contact or lead form, request service or a quote, ask about financing, apply for a job, call, email, or otherwise contact us.
- Automatically — through cookies, analytics, security tools, and our servers when you use the Site.
- From service providers — such as our website platform, lead-routing, and analytics providers acting on our behalf.
3. How We Use Your Information
We use personal information to:
- Respond to your inquiry and schedule, perform, document, and follow up on services
- Prepare estimates and maintain service, warranty, billing, and compliance records
- Send service reminders, appointment updates, and account or transactional notices
- Review and respond to job applications
- Operate, secure, maintain, analyze, and improve the Site and our services
- Detect, prevent, and respond to fraud, spam, abuse, and security incidents (including via Google reCAPTCHA)
- Comply with legal, tax, regulatory, licensing, and contractual obligations and enforce our terms
- With your consent, send you information you request
We do not use your information to make decisions that produce legal or similarly significant effects about you through solely automated means (Section 16).
4. Cookies & Tracking Technologies
We and our website platform use cookies, pixels, and similar technologies in these categories:
- Strictly necessary — required for the Site to function and to keep it secure (including spam protection via Google reCAPTCHA).
- Analytics / performance — to understand how visitors use the Site so we can improve it (for example, Google Analytics).
- Functional — to remember choices such as your cookie preferences.
When we use non-essential cookies or analytics, a consent banner lets you accept or reject them, and we honor recognized opt-out preference signals — including the Global Privacy Control (GPC) — as described in Section 17. You can also manage or block cookies through your browser settings at any time; disabling some cookies may limit Site functionality.
5. Analytics & Advertising
We use or may use Google Analytics 4 (GA4), managed through Google Tag Manager, to understand how visitors find and use the Site so we can measure traffic and improve performance. These tools set cookies and collect Internet and device activity as described in Sections 1 and 4 (for example, IP address, pages viewed, and general location), and we use this information in aggregate to operate and improve the Site.
Your choices. You can opt out of Google Analytics on all websites by installing the Google Analytics Opt-out Browser Add-on; manage or block analytics and other non-essential cookies through your browser settings or, where shown, our cookie-consent banner; and use a Global Privacy Control (GPC) signal, which we honor as described in Section 17.
We do not sell or "share" your personal information, and we do not engage in cross-context behavioral advertising or "targeted advertising" as those terms are defined under applicable state privacy laws. The Site does not currently run advertising or conversion-tracking pixels (such as Google Ads remarketing or the Meta Pixel); if that changes, we will update this Section and our cookie and consent disclosures before those technologies are used.
6. Text Messaging (SMS)
Enviro Heating & Air Conditioning does not operate an automated or marketing text-messaging (SMS) program. We do not send recurring, automated, or promotional text messages, and this Site does not collect mobile numbers for an SMS marketing program or ask you to opt in to one. Our contact forms let you choose to be reached by phone or email only.
If you text us directly, or we exchange a text with you in the course of handling your specific request, that is an individual, person-to-person message rather than an automated program; standard message and data rates from your wireless carrier may apply to any message you choose to send. We do not share mobile information or any messaging consent with third parties or affiliates for their marketing. If we ever introduce an automated SMS program, we will obtain your express opt-in and publish the required terms (including STOP and HELP instructions) before doing so.
7. Call Recording & Monitoring
Calls to or from our office may be monitored or recorded for quality assurance, training, scheduling, dispute resolution, and follow-up. Because California is an all-party consent state under the California Invasion of Privacy Act, where a call is recorded we will provide notice at the start of the call; if you continue the call after that notice, you consent to the recording and monitoring. If you prefer not to be recorded, you may tell us at the start of the call or contact us in writing using Section 20 instead. We use any call recordings only for the purposes described in this Policy, retain them no longer than necessary, and do not sell them.
8. How & Why We Share Information
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising or targeted advertising. We disclose personal information only as follows:
- Service providers / processors who operate the Site and our business on our behalf under contracts that restrict their use of the data — including our website platform and lead-routing provider (CI Web Group), analytics and security providers (Google Analytics and Google reCAPTCHA), hosting and content-delivery providers, and, if you choose financing, the third-party financing provider.
- At your direction — for example, submitting a financing pre-qualification sends your information to that provider under its own terms.
- Legal, compliance & safety — to comply with law, regulation, subpoena, or lawful request; to enforce our terms; or to protect the rights, property, or safety of our customers, the public, or us.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
In the preceding 12 months we have disclosed the categories of personal information in Section 1 to service providers for the business purposes described above. We have not sold or "shared" (for targeted advertising) personal information.
9. Third-Party Services & Links
The Site relies on third-party services that process limited data on our behalf, including website hosting and content delivery, lead routing (CI Web Group), Google Analytics, and Google reCAPTCHA, and (if you use it) a third-party financing provider. Their handling of your information is governed by their own privacy policies. Submitting a financing request, or following a link to a third-party site, is subject to that company's terms and privacy policy, not ours, and we are not responsible for their practices.
10. Data Retention
We keep personal information only as long as necessary for the purposes in this Policy and then delete or de-identify it. In general: website inquiry and lead data is retained while we follow up and for a reasonable period thereafter; customer service, warranty, and accounting records are retained for the life of the relationship and for the period required by tax, contract, and limitations law; licensing and compliance records are retained as required by applicable regulation; and job-application data is retained for the applicable hiring and record-keeping period. Where a longer period is required by law, we retain the information for that period.
11. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, disclosure, or destruction — including encryption in transit (HTTPS) and restricted, need-to-know access. No website, server, or method of transmission is completely secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and the authorities as required by law.
12. Your Privacy Rights (All Users)
Regardless of where you live, you may ask us to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete information we hold about you (subject to legal exceptions)
- Opt out of marketing emails (use the unsubscribe link)
To make a request, contact us using Section 20. We will respond consistent with applicable law.
13. California Residents — CCPA/CPRA
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you the right to:
- Know / access the categories and specific pieces of personal information we collect, use, and disclose, along with the sources and purposes
- Correct inaccurate personal information we maintain about you
- Delete personal information we collected from you (subject to exceptions)
- Opt out of the sale or "sharing" of personal information
- Limit the use and disclosure of sensitive personal information
- Non-discrimination — you will not be discriminated or retaliated against for exercising your rights
We do not sell or "share" personal information, and we do not use sensitive personal information for purposes that trigger the right to limit. The categories we collect, the sources, the business purposes, and the categories of recipients are described in Sections 1, 2, 3, and 8.
You may submit a request using Section 20. We will verify your request using information we already hold and respond within the time the CCPA allows (generally 45 days, extendable by an additional 45 days when reasonably necessary). You may use an authorized agent (with proof of authorization). We do not offer financial incentives in exchange for personal information.
14. Other U.S. State Privacy Rights
Residents of other states with comprehensive privacy laws (for example, Virginia, Colorado, Connecticut, Utah, Oregon, Texas, Montana, and others) have comparable rights to access, correct, delete, obtain a portable copy of, and opt out of the sale of personal data or targeted advertising. As stated above, we do not sell personal data or conduct targeted advertising. To exercise any right, contact us using Section 20. Where your state provides an appeal right, you may appeal a declined request by replying to our response, and we will respond within the period your state's law allows.
15. Children's Privacy
This Site is intended for adults and general audiences. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13 (or sell or share the personal information of consumers under 16). If you believe a child has provided us personal information, please contact us and we will delete it.
16. Artificial Intelligence & Automated Processing
We use AI-assisted tools to help create and organize website content and to publish machine-readable summaries so that search engines and AI assistants can find and present accurate information about our services. AI-assisted content is reviewed by a real person for accuracy before publication.
When you submit a form or message, AI-assisted systems may help route, summarize, or prioritize it so a real person can respond — a real Enviro Heating & Air Conditioning team member reviews and handles your request. We do not use AI to make decisions about you that produce legal or similarly significant effects through solely automated means, we do not engage in profiling that would require an opt-out under applicable law, and we do not sell your personal information or provide it to third parties to train their AI models.
17. Do Not Track & Opt-Out Preference Signals
Some browsers offer a "Do Not Track" (DNT) setting; because there is no common industry standard for DNT, we do not currently respond to DNT signals. We do, however, honor recognized universal opt-out preference signals — including the Global Privacy Control (GPC) — where required by law, treating them as a valid request to opt out of the sale, "sharing," or use of your personal information for targeted advertising. As noted throughout this Policy, we do not engage in those activities, and where we use non-essential cookies a consent banner also lets you accept or reject them (Section 4).
18. Accessibility of This Policy

19. Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate. Your continued use of the Site after an update means you accept the revised Policy.
